Hours worked

Your stage will be 35 hours per week usually from 8h to 4h pm dependent on supervisors schedule, although some arrangements can be made with your supervisor to work around your schedule.

Lunch and breaks

You will have 1 hour for lunch and two 15 min breaks.

Punctuality

You are expected to arrive on time and leave on time. 

Identification

Identification is very important at the MUHC for quality and security reasons. Make sure you wear your student ID at all times.

Stats holidays

Staff members of our department don’t work during stat holidays. Be aware of holidays during your stage to plan accordingly.

Absences

Should you miss one or more days (hours) of stage for any reason, you have to make up these days (hours). Please check your School’s politics for absences.

If you are absent for whatever reason, you must contact your clinical supervisor by calling the department (leave voicemail if necessary) or contacting them directly AND advise the academic clinical coordinator at your university.

If you feel sick, please advise your supervisor as you should not be in contact with patients.

You can discuss directly with your supervisor to know how to make up for these days (hours).

Emergency procedures

Get familiar with the different emergency codes since you might hear a few during your stage. You can refer to the different emergency procedures online.

Scheduling patients

Some of you will have to schedule patients during their stage. Get familiar with MediVisit in order to be able to schedule patients independently.

In-services

Our department does in-services on a regular basis. You are always welcome to attend as we usually take the opportunity to have you participate in one of them as part of your student presentation project. Also, grand-rounds are on-going in all the sites by all clinical services.  They are a great opportunity to increase your knowledge about certain topics. Your supervisor can give you more details during your stage. 

Equipment loaning

There is equipment available in our department. You can use some of this equipment as part of teaching or demonstration with patient or for treatment purpose. However, make sure the equipment is well labeled and that you bring it back.  All equipment needs to be sanitized when patients are finished with it or at patient discharge.

Computer access

You can use any computer at any MHUC sites. You can log in using an identification codes that will be given to you during your first day of stage. Make sure you don’t leave your workstation unattended and log out once you are done. Please ensure you are familiar with regards to information security for proper use.

Photocopies and Printing

Every employee at the MUHC is given a code or uses his ID card in order to photocopy/print documents. You can ask your supervisor about how to photocopy/print documents during your stage. 

Access to the department

In some of the MUHC sites, you will be given a student ID access to navigate around. In this case, make sure you scan your ID card daily at a hotspot. Your supervisor will show you how during the first day of stage. At other sites, you will need a key or combination locks to access the OT department. You will be provided with your ID access or key during your first day of stage.

Lockers

Lockers are available in all of our departments for you to store your personal belongings. You can bring a lock in case to lock your valuables. Make sure you don’t leave personal valuables unattended and at view.

Basic Charting and Templates

We use the same forms throughout the MUHC for documentation. They are easy to recognize as they all have a red bar at the bottom of it. Get familiar with these templates as you will be using them quite often during your placement. You can find all templates in the Student workstation section.

OEQ Charting Guidelines

You will be doing a lot of charting over your career. As a student, we know it can be difficult to learn how to chart efficiently, timely and effectively. Here is a review of proper documentation.

Please Note: 

  • Students are expected to sign their charts as OTM1 or OTM2. (Ex: John Smith, OT M1)
  • DO NOT FORGET to have your supervisor co-sign all documentation! You can keep a log of all the notes that needs to be signed to facilitate your supervisor’s work.

Letter of introduction

You are expected to send the student coordinator a letter of introduction. This way, we can initiate the process to get your student ID access upon your arrival. Please provide us with your date of birth as we need this to procure your ID card. It is also helpful for your clinical supervisor to have some information about your previous experience.

Literature

Many books, articles and manuals are available in our department and will be accessible to you at all times during your stage. Feel free to use these reference materials as part of your learning experience. 

Facilities

You will have access to a refrigerator and a microwave in all our departments to store and heat up your lunch. There is also a cafeteria on each site if you need to buy your lunch.

Library

You have access to the libraries located in every MUHC site. The location of the library will be shown to you as part of your orientation on your first day.

Given the MUHC is affiliated to McGill University; the teams are familiar with having student rotations. Therefore, you will be expected to participate in team discussions/meetings.

Student Presentation

As part of the professional development and non-clinical aspect of occupational therapy, you are expected to prepare a presentation which will take place in the last few weeks of your rotation. 

The format of the presentation/project may differ from a student to another, preferably something of benefit to the department (topic, literature review, pamphlet for a certain clientele, new assessments). Please leave an electronic copy of your presentation to your supervisor.

Please do not hesitate to contact the Student Coordinator of your specific site should you have any question prior to your stage. One of their roles is to facilitate and optimize your learning experience at the MUHC.
